We are the data controller for the personal information described here, and we handle it under the UK GDPR and the Data Protection Act 2018.
This isn't about ticking a legal box — it's about being straight with you. Below is what we collect, why, how long we keep it, and the control you have over it.
What we collect
We only collect what we actually need to do the work and stay in touch.
When you contact us — through the form, by email, or in a first conversation — we collect your name, email address, phone number if you share it, and whatever you choose to tell us about your situation.
When you become a client — we keep the notes, goals, and records that the coaching relationship needs, along with basic billing details so we can invoice you.
When you subscribe to our occasional essays, we keep your email address until you unsubscribe.
When you visit the site — our host keeps standard server logs (such as IP address and browser type) for security and reliability. We don't run advertising trackers or sell behavioural data.
Why we use it
Each thing we hold has a clear reason, and a lawful basis under data protection law.
We use your contact details and the context you share to reply to you and arrange a conversation — on the basis of taking steps at your request before any agreement. We use client records to deliver coaching and meet our obligations to you — on the basis of our contract. We use billing details to invoice and keep proper financial records — on the basis of our legal obligations. We send essays only where you've subscribed — on the basis of your consent, which you can withdraw at any time.
The sensitive nature of coaching
Coaching conversations can touch on personal and emotional ground. We treat what you share as confidential. We don't disclose the content of your sessions to anyone outside the coaching relationship, except where you ask us to, or where the law requires it — for example, a genuine risk of serious harm. If a moment like that ever arose, we'd aim to talk it through with you first wherever it's safe to do so.
Who we share it with
We don't sell your information, and we don't share it for marketing. We use a small set of trusted providers to run the practice — for example, email and calendar services, our website host, and payment and accounting tools. They only process your information on our instructions, and only to provide their service to us. Some may process data outside the UK; where they do, we rely on appropriate safeguards such as the UK's International Data Transfer Agreement or equivalent.
How long we keep it
We keep enquiry messages for up to two years in case you come back to us, then delete them. We keep client records for the duration of the engagement and for up to six years afterwards, in line with UK financial and limitation requirements. We keep newsletter subscriptions until you unsubscribe. When information is no longer needed, we delete it securely.
Your rights
Under UK data protection law you can ask us to show you the information we hold about you, correct it if it's wrong, delete it, or restrict how we use it. You can object to certain uses, ask for your data in a portable format, and withdraw any consent you've given. We don't make automated decisions about you.
To exercise any of these, just email info@built4more.org. We'll respond within one month. If you're ever unhappy with how we've handled your information, you can also complain to the UK's Information Commissioner's Office at ico.org.uk — though we'd genuinely rather you came to us first so we can put it right.
Keeping it secure
We use reputable, access-controlled services and limit who can see your information to the people doing the work. No system is perfectly secure, but we take protecting what you share seriously, and we only keep what we need.
Changes to this policy
If we change how we handle your information, we'll update this page and change the date below. For material changes that affect you directly, we'll let you know.
